Refunds/Withdrawals If you withdraw from a class by June 1, we will issue a refund minus a $50 cancellation fee (per camp, per student). After June 1 we are not able to offer refunds. A transfer to another NCE summer class may be possible for a fee based on when you make your transfer request: $30 by noon on June 26 $45 after 12 PM June 26 if your camp hasn’t started $75 once the week of your child’s camp starts Refund and transfer requests should be emailed to nce-staff@newton.k12.ma.us. Requests sent after business hours will be based on the next business day. Access & Eligibility Our classes are open to everyone from all communities so long as they meet the grade requirements. Grade requirements for kids’ classes are listed per class. When choosing summer classes, please use your child’s grade as of fall 2026. We do occasionally make exceptions; call the NCE office to inquire. Medical Information Requirements A copy of your up-to-date medical form/immunization record is required for participation in this camp; please return it to our office at least two weeks in advance of camp. If your child has an allergy or medical condition that requires emergency/rescue medication, we also require an Emergency Action Plan and Medication Permission Form completed by your child’s health care provider. This camp complies with the regulations of the Massachusetts Department of Public Health and is licensed by the Newton Health Department. Detailed information on our procedures can be found here. Dropoff & Dismissal Procedures Dropoff and dismissal for all summer programs will be in the cafeteria. Pickup: Instructors and coaches are responsible for ensuring that a participant is dismissed at the end of the day from the program-specific location to an approved contact listed on the roster. Alternatively, the roster will indicate if a participant can be self-dismissed. Students in the 3rd grade and up can self-dismiss from our classes. Students younger than third grade can be picked up by adults on the authorized pickup list or by a sibling who is in the 3rd grade or above. Written permission from a parent/guardian is required and can be done during the registration process. NOTE: Students in 6th grade and above are assumed to self-dismiss unless otherwise communicated. Late Fees Please respect our staff and pick your child up on time. A fee of $25 will be charged on the first late pickup. After that, your child will be enrolled in extended day and you will be charged the difference. Snacks, Lunch, & Water Food is not provided at camp. Families are responsible for bringing the following labeled items: a refillable water bottle, multiple snacks for each half-day session, and lunch for full-day programs. Students will not have refrigerator or microwave access. You must let us know at registration if your child has an allergy requiring emergency medication. Registration Deadline Registration closes the Thursday before the following week’s programs. All registrations must include required health forms and paperwork. Behavior Policy We want all children to be successful and safe in all of our classes. We ask our instructors to be clear with expectations and to deliver curriculum in an engaging way. We ask that students be respectful to their peers, instructors, class materials, and class space whether online or in-person. If your child is exhibiting challenging behavior, we will try to help your child re-engage appropriately. If we are unsuccessful in helping your child re-engage, we will strategize with you about the best way forward and hope to come up with a positive solution, which may include class withdrawal. Refunds are not given to families of children who need to leave a class due to an inability to engage appropriately. We ask students to follow NPS’ online practices and guidelines which are found on the NPS website. Students Who Need Additional Support We are committed to an inclusive learning environment for all students, including neurodivergent students and students with other disabilities. Occasionally, we may need to change times, dates, or instructors. Any such change would be communicated with the class. We do not offer refunds for date or instructor changes beyond our control, e.g. rescheduled class dates due to instructor illness Financial Assistance We strive to make our classes accessible to all. Financial assistance is available for all Newton residents and NPS students (regardless of residence) who qualify based on the NPS free & reduced lunch income guidelines. A short online form is available on our website. Please apply by September 15 for fall scholarships, January 15 for winter scholarships, and March 15 for spring scholarships. Summer scholarships are on a rolling basis. Priority will be given to applicants who submit all required documentation and apply by the deadline. If you miss the deadline, call the NCE office to inquire if it is still possible for apply for yourself or your child. If you have questions, contact us at nce-scholarships@newton.k12.ma.us. Format Change Should COVID-19 or other circumstances necessitate, a limited number of sessions of your in-person class may be moved online. You will be notified of any such change and no refunds will be offered for temporary format changes. If circumstances necessitate your class be moved online permanently, you will be offered the option for a refund. Gift Certificates Gift certificates are available in any amount and can be used for any NCE class. Email us at nce-staff@newton.k12.ma.us to purchase one. Meeting Links & Supplies For classes that meet online, we send links via email three business days before class begins. If you did not receive your link or list of class materials, your email server may be blocking our messages. Please check your Spam and Promotions folders. You are responsible for notifying us at least one business day in advance so we can send you all the information you need for a successful class experience. One Person Per Computer Your registration in an online class is just for you. Please register individually if more than one person will be using your screen. Permissions We may occasionally post student work to our website or take pictures or videos of students in our classes for use in print and electronic promotional materials. Your enrollment in a class indicates your approval for this. Recording To preserve privacy, we do not allow students to take video or audio recordings of our classes. Registration Fee We charge a $10 registration fee per person per session unless registering for a single session class. Registration fees are non-refundable, unless a class is canceled by NCE. Trial Classes We do not offer trial classes at this time. Troubleshooting Online Classes We strongly recommend that you test your meeting platform in advance as we cannot offer refunds for last-minute technical difficulties or late arrivals. See tips under Quick Links for help using Zoom. Waitlist Status If the class you want is full, sign up for the waitlist! It’s free, and you can always turn down a spot if it’s offered to you. Weather Cancellations In inclement weather, call NCE’s weather hotline at 617-559-6993 to find out if your class is running. Virtual classes will typically run in inclement weather. If your class is canceled, we will notify you of the makeup date as soon as possible. We cannot offer separate makeup dates for individual schedule conflicts. We do not provide refunds for weather-related date changes. We are Inclusive We welcome students of all races, ages, genders, sexual orientations, gender identities, religions, abilities, statuses, and every other category protected by federal or state law. Our goal is to provide safe, accessible, and comfortable classes for all. Parent Policies and Procedure We recognize that parents may have questions about our policies and procedures. Parents also have the right to request copies of health care and discipline policies as well as procedures for filing grievances. Parents may also request a copy of the camp’s written policies on staff background checks from the camp director and ask the Board of Health to confirm that background checks were completed at the camp. Please note, however, that parents are not authorized to review any staff person’s actual CORI or SORI report.
